I, Katerina Kurilova of Health in Thought Therapies Ltd, am both the Data Controller and the Data Protection Officer.  My contact details are: info@healthinthoughttherapies.co.uk and 07500 862 692.  At Health in Thought Therapies Ltd it is our priority to keeping your personal data secure and safe. We, invite you to read our Confidentiality and Privacy Policy below to understand how the General Data Protection Regulations (GDPR), Professional Indemnity insurance policy and professional body’s code of ethics affect the way we handle your personal information.

Website Visitor Tracking Information:

All visits to our website www.healthinthoughttherapies.co.uk are recorded for improvement purposes only.  We use third party service, Google Analytics, to collect standard internet log information and details on visitor behaviour patterns.  We do this to identify things such as the number of visitors to various parts of the website.  This information is only processed in a way which does not reveal your identity.  We do not allow Google to make any attempt to find out the identities of those visiting the website.

Confidentiality:

 

The data we collect from you as a client may include: your name and contact details; your General Practitioner’s contact details; information about your symptoms / triggers; current and past relationships / experiences; your family background; and your medical history.

There is no legal requirement for you to offer this information, however, without it we will be unable to provide the service you are seeking.

We will not disclose information about you to a third party without your permission. This includes, your therapist will not acknowledge you should you cross each other outside of your sessions; not divulge information about you having treatment with a third party (such as if someone was to answer your phone should a need arise to call you); by giving us your phone number, you are permitting to leave messages on your voicemail should a need arise to get hold of you, unless you state otherwise.

In line with the code of ethics set out by the professional body, we may share and discuss anonymous case studies for the purpose of continued professional development, supervision or training. Please note that anonymous means ensuring the removal of any personal details and information that might identify you.

To ensure open and unrestricted exploration of all concerns that have brought you to therapy, we maintain strict confidentiality in accordance with the governing bodies and their Ethical Framework for Good Practice in Counselling, Psychotherapy and Hypnotherapy (Code of Ethics) – see www.bacp.co.uk and www.nationalhypnotherapysociety.org

Your session records (summarised audio recordings and/or short summaries on what happens in each session) retained in strict confidential form that adheres to the General Data Protection Regulation (GDPR) 2018. (Information Commissioner’s Office Registered # ZA523362).  On occasion, your sessions audio-recorded for further in-depth analysis to support your treatment.    Please note: we do not retain full session audio-recordings.

We retain the information you give us for seven years after your treatment (for adults), and for seven years after a minor reaches the age of majority (18), which is the length of time suggested by the professional body and required Professional Indemnity Insurance company for client records.

Children: in collecting information from persons under the age of 16, consent must be provided by their parent or guardian in order for us to process their data lawfully.

Exceptions to confidentiality: 

 

We will be forced to pass on any information to the relevant authorities in cases where human safety is concerned including the following: 

Ø if you threaten harm to yourself or to other(s); 

Ø if we believe a child or protected adult is at risk of harm or abuse; 

Ø if the courts instruct us to give information; 

Ø if you share information about a proposed act of terrorism or other illegal act.

Ø Important:  if we feel that either you or someone else is in danger or at risk of harm, your therapist would first endeavour to discuss with you their decision for breaking confidentiality.  However, we retain the right to break confidentiality without prior consultation with you should we consider that the urgency of the situation requires us to act immediately to safeguard the physical safety of yourself or others.

Privacy:

 

We, Health in Thought Therapies Ltd, are committed to wanting the trust and confidence of our clients.  The personal data we collect is used only in case of emergency.  We are not in business of selling or trading email lists with other companies and businesses for marketing purposes.

The data we hold about you stored electronically in a world-class infrastructure, which is protected by 24/7 manned security, CCTV, real-time encrypted backup and geographically separate replication.  

Any paper-based collected data and notes vigilantly uploaded on to our online infrastructure (as mentioned above); hard copies shredded and appropriately disposed of immediately after.

You have rights over the information we hold about you:

 

Portability: you can request us to share your information with someone else;

Rectification: if you believe there are any inaccuracies in our records, you can ask for them to be changed;

Erasure: in certain circumstances you may have the right to ask us to remove your details from our records in writing (this is sometimes called ‘the right to be forgotten’) 7 years following termination of your therapy;

Right of access: you can have a copy of the information we hold at any time, by requesting it in writing. This will be provided within 30 days and free of charge (following receipt of your written request);

Information: you have the right to understand how we collect and process your information (hence this privacy notice);
